Act: Open Records Request Procedures
- All campus/departments must designate a contact
person “designee” for open records request.
- The designee must complete the online web base
training listed at http://www.oag.state.tx.us/opinopen/og_training.shtml.
- All Open Records Requests submitted to the District
must be received in writing.
- Open Records Request must be stamped on the day they
are received and immediately faxed to the Superintendent’s Office at
386-3015. After confirmation of receipt (386-3010), the original request
must be forwarded to the Superintendent’s Office through interoffice mail
or hand carried.
- The Superintendent’s Office will document and
distribute the request to the appropriate campus/department according to
the information being requested. Open Records Requests must be completed
as soon as possible not to exceed 10 days.
- The designee will review the information requested
and if it is determined that further clarification is needed, the designee
must call the Superintendent’s Office. The Superintendent’s Office will
call the requestor to clarify. The designee should never call the
requestor.
- The designee will research the information and
contact the Superintendent’s Office to estimate the actual copy charges
and/or labor charges prior to fulfilling the request. Do not begin making
copies until you have spoken with the Superintendent’s Office.
- Hand carry the Open Records Request to the
Superintendent’s Office as soon as it is completed. The Superintendent’s
Office will notify the requestor that their Open Records Request is
complete and available for pick up. The completed Open Record Request can
be emailed to diane.gattis@del-valle.k12.tx.us
if it is the preferred method of delivery by the requestor.
